Factory readiness begins before the machine is shipped
A custom screw fastening machine can pass factory acceptance and still lose time at the destination if power, compressed air, layout, materials, network access, safety responsibilities, or line interfaces are not ready. Overseas projects add language, travel, time-zone, customs, and coordination constraints, so unresolved assumptions are more expensive to discover on site.
The buyer and supplier should maintain one readiness checklist with named owners, evidence, due dates, and open issues. Final requirements must follow the approved machine specification, local regulations, factory rules, and commercial agreement.
Confirm the site, utilities, and surrounding equipment
Photographs, measurements, utility records, and interface documents provide better evidence than a simple "site ready" status. Any difference from the approved specification should be reviewed before shipment or travel is arranged.
- Verify floor position, access route, door and elevator dimensions, lifting needs, floor loading, and maintenance clearance.
- Confirm voltage, frequency, grounding, electrical connection point, compressed-air pressure and quality, exhaust, and other specified utilities.
- Prepare network, barcode, MES, PLC, robot, conveyor, and upstream or downstream interface conditions when included in scope.
- Check lighting, temperature, dust, humidity, vibration, and electrostatic requirements relevant to the product and equipment.
- Mark the final layout and make sure production, material flow, emergency access, and operator movement remain practical.
Prepare products, screws, consumables, and reference standards
Commissioning cannot represent production if only a few ideal samples are available. The factory should prepare approved parts and screws from representative batches, including all models within the agreed scope. It should also provide any mating components, labels, pallets, trays, packaging, lubricants, or other materials used in the real process.
Quality standards need to be available at the station. This may include drawings, screw specifications, torque or process requirements, approved samples, inspection methods, defect definitions, control plans, and rules for handling nonconforming parts.

- Prepare sufficient material for setup, training, trials, and acceptance without assuming every part will remain saleable.

The equipment supplier supports machine installation and process setup within the agreed scope, while the factory remains responsible for its site rules, utilities, production materials, and internal approvals. Writing these responsibilities down reduces delays and unsafe improvisation.
- Name the buyer's project owner and contacts for production, engineering, quality, maintenance, IT, EHS, and purchasing.
- Confirm who can approve mechanical, electrical, software, process, and acceptance decisions on site.
- Complete local induction, work permits, lockout procedures, PPE, language support, and other factory access requirements.
- Schedule operators and maintenance staff for hands-on training rather than only management observation.
- Agree on daily issue tracking, evidence, escalation, and approval methods across languages and time zones.
Turn commissioning and acceptance into a shared test plan
The installation plan should distinguish equipment positioning and connection, basic function checks, process setup, model validation, trial production, training, punch-list closure, and final handover. Entry criteria for each stage prevent testing from starting before required utilities or materials are available.
Acceptance should use the criteria agreed for the project. Typical checks may cover safety functions, fixture and sensor logic, screw feeding, fastening results, cycle sequence, recipes, model changeover, alarms, NG handling, data interfaces, documentation, and maintenance access. Exact targets should not be assumed from another project.
- Compare the delivered configuration with the approved scope and factory acceptance records.
- Record test conditions, sample models, results, open issues, owners, and closure evidence.
- Control temporary bypasses and parameter changes during commissioning.
- Define who signs each acceptance stage and what happens when a requirement is not yet met.
Prepare handover, remote support, and lifecycle maintenance
Before the installation team leaves, the factory should confirm that operators can run and recover the normal process, maintenance personnel can perform routine inspection and replacement, and the required manuals, drawings, backups, parameter records, parts lists, and training evidence have been handed over according to scope.
